Build a Job with Tasks and decisions

Give each part of the work a clear owner, and decide how the Job should move forward.

Practical guidance for getting work done

A Job describes an outcome. Its Tasks divide the work into clear responsibilities, and its decisions determine what happens next. People and Agents can each take the parts they are best suited to handle.

One Job, several responsibilities

Imagine you want a daily inbox review. An everyday Agent summarises the messages, a stronger reasoning Agent recommends the priorities, and a person makes the final judgement.

TASK 01Summarise the inboxAgent L
TASK 02Recommend prioritiesAgent O
TASK 03Review the prioritiesYou or a teammate
Instructions and results travel with the work.
Part of the planWhat to describeInbox example
Job outcomeWhat should be achieved?A reviewed list of the two most urgent enquiries
Task instructionsWhat should this assignee do?Read five enquiries, summarise each and save a Google Doc
AssigneeWho does this part?Agent L, Agent O or a named teammate
Information and outputWhat comes in and what should come out?Gmail conversations in; a document and recommendation out
DecisionWhere does the work go next?Accept and complete, or return for revision

Give each Task a clear finish line

“Review emails” leaves a lot open to interpretation. Say which emails, what to look for, where the result belongs and what the Agent must not do. The next person or Agent should be able to use the result without reconstructing the brief.

A clearer Task

“Review the last five client enquiries in Peter’s Gmail. For each, record the client, request, deadline and missing information in a Google Doc. Do not reply. Pass the document link and a short summary to the priority-review Task.”

Decisions make the workflow flexible

You can define more than one decision for a Task. Each decision can lead to the next Task, a different Task or completion of the Job.

Use this when the work is ready for the next responsibility. For example, a completed summary moves to the Agent evaluating priorities.

Review the plan before creating it

Ask your 2IC to show the Task sequence and decision paths. Check that each decision leads somewhere sensible, that the reviewer is a real workspace member and that the right person’s connections are used.

Try this with your 2IC

Show me this Job as a list of Tasks. For each Task, include its assignee, inputs, expected result and decisions. Explain where each decision leads, including any return for revision. Highlight anything you still need me to clarify before creation.

See how people review and contribute or follow the Job’s results.
