Update, pause or disable a Routine
Keep recurring work aligned with the way the business operates.
Business processes change. You might need a different reporting time, an extra check or another reviewer. Work with your 2IC to update the Routine, then check that the new plan matches what the business now needs.
Make a focused change
- Identify the right Routine
Check its workspace and purpose. If several have similar names, open the detail before asking your 2IC to change one.
- Describe the difference you want
Say what should change and what should remain. For example, move a report to Tuesday without changing the sources or the reviewer.
- Review the revised plan
Check the schedule, Tasks, assignees and decisions affected by the change. Approve the revision once it is right.
- Check the next Job
Follow the next relevant occurrence and verify the new behaviour. An existing Job has its own plan, so do not assume a Routine edit changes work already underway.
For the weekly management-report Routine, move the schedule from Monday at 10am to Tuesday at 11am in the same timezone. Keep the sources and reviewer unchanged. Show me the proposed change and explain which upcoming work it will affect before applying it.
What happens to work already in progress?
A Routine revision applies to future work under the new plan. Work already accepted under an earlier version may retain that version, and Jobs already created continue with their own Tasks.
If you need an existing Job to stop or change, open that Job and use the controls available to you. Editing the Routine is not the same action.
Pause or disable a Routine
| What you want | What to check |
|---|---|
| Temporarily stop new occurrences | Pause the Routine using the available controls and check its status. |
| Stop using the process | Disable it and confirm it is no longer active. |
| Stop a Job already created | Handle that Job separately. Pausing the Routine does not cancel it. |
| Start using it again | Review its trigger, connections, assignees and Credits before re-enabling or resuming. |
Pause the enquiry Routine, review any Jobs already open and agree who will finish them. When the team returns, confirm the accounts and reviewers are still correct before resuming the process.
