Choose when a Routine starts

Use a schedule or a supported event from your business tools.

Practical guidance for getting work done

A trigger answers one question: when should this process start? Choose a schedule for work tied to the calendar, or a supported business event for work tied to something arriving or changing.

Choose the right starting point

Use a schedule for a weekly report, a morning briefing or a regular batch of orders. Describe the frequency, time and timezone in everyday language.

Example: “Every three days at 10am in Australia/Sydney, prepare the new orders for fulfilment.”

A named timezone keeps the schedule connected to local business time, including daylight-saving changes. Check the next scheduled time after setup.

Explain which events matter

“When an email arrives” can be much broader than “when a new sales enquiry arrives”. Describe the business conditions that should start the Routine, what information the new Job needs and what should be ignored. Your 2IC can help determine how to express those conditions using the available integration.

Ask yourselfWhy it matters
Which account or source should be watched? It keeps work tied to the right client and person.
What should count as a new piece of work?It avoids planning a process around an ambiguous event.
What information arrives with it?The first Task needs enough context to act.
Who should handle an exception? The Agent needs a useful next step when information is missing.

Check the first occurrence

Open the Routine, check its trigger and follow the first Job it creates. For a scheduled report, confirm the time and reporting period. For an incoming enquiry, confirm it used the intended source and client information.

If a Routine does not start as expected, check it is enabled, its connection remains available and the workspace has Credits for paid work. Then review troubleshooting.
