Create a Routine
Turn a repeatable business process into work that starts at the right time.
A Routine is a process you want to repeat. Define the work once, decide when it starts, and Sordit creates a separate Job for each occurrence.
Start with a process you understand. A weekly report, enquiry follow-up or order preparation workflow is easier to automate when you can explain its inputs, decisions and useful result.
Start with a repeatable outcome
It holds the repeatable plan: Tasks, responsibilities, decisions and how the work starts.
Monday’s report and next Monday’s report have their own progress, results and reviews.
Build it with your 2IC
- Describe the business process
Explain what starts the work, where the information lives and what the team needs at the end. Include the person whose connected accounts should be used.
- Choose a schedule or supported event
Say whether this should happen at a set time or when something arrives in a business tool. For a schedule, include the timezone. For an event, have your 2IC check that the integration supports it.
- Include decisions and human reviews
Define the normal path and the exceptions. For example, a report may go to a manager before it is shared, or an unclear order may need a person’s input.
- Review and approve the proposal
Check the Task plan, identity, trigger and review points. Ask your 2IC to create the Routine only when the proposal matches the process you want.
- Follow its first Job
Open the Routine in Routines, then review the Jobs it creates. Check the first result with the client before relying on the process at a larger volume.
Help me create a weekly management-report Routine for this workspace. Every Monday at 9am in the workspace timezone, use my authorised CRM and document connections to gather the latest customer updates and meeting notes. Prepare a report highlighting decisions and risks, save it in the agreed Google Drive folder and assign me a review Task. Ask which sources and folder to use, then show me the full plan before creation.
Make success easy to check
Agree what a good result contains before the first run. For a management report, that might mean a date range, source links, key changes and a short list of decisions needed. Tell the Agent to flag missing information rather than quietly filling gaps.
